Privacy Policy
Effective 10 October 2026
This policy explains how the Flightkeep pilot logbook app ("Flightkeep", "we", "us") handles your information. Flightkeep is developed in Australia, and we handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
In short: your logbook is stored on your phone and, if you use cloud backup, in your own Google Drive. Flightkeep has no servers of its own that store your flights or personal information. We don't sell your information, show ads or use analytics trackers.
Information Flightkeep handles
Your Google account
You sign in to Flightkeep with Google. Google shares your name, email address, profile picture and a Google account identifier with the app. Flightkeep stores these on your device to show who is signed in. Flightkeep also stores the sign-in tokens Google issues, in your device's secure storage (the Keychain on iPhone, or the Keystore on Android), so you don't have to sign in again each time you use a Google feature.
Your logbook
The flights you record or import are stored on your device. They can include dates, aircraft types and registrations, the names of the pilot in command and other crew, flight details and routes, flight times, take-offs and landings, instrument approaches and related notes. Your certification records and your display settings are stored on your device too.
Certifications
When you certify entries, you enter the certifier's name, Aviation Reference Number (ARN), the certification date and a drawn signature. These are saved with the details of the certified flights to your Google Sheets (see below). If you enter another person's details as certifier, please make sure they are happy for you to record them.
How Flightkeep uses Google services
Flightkeep connects directly from your device to Google, using your own Google account. Each feature asks for only the access it needs, and only when you use it:
| Feature | Google access requested | What Flightkeep does with it |
|---|---|---|
| Sign in | Your name, email address and profile picture | Shows who is signed in and personalises the app. |
| Cloud backup and restore | Flightkeep's own private app data folder in your Google Drive (drive.appdata) | Saves a copy of your logbook, certification records and display settings after each change, and reads it back when you restore. This folder is hidden and can only be used by Flightkeep. It can't see any of your other Drive files. |
| Export to Google Drive | Files that Flightkeep creates in your Drive (drive.file) | Uploads the logbook PDF you choose to export. It can't see your other Drive files. |
| Import from Google Sheets | Read-only access to file names in your Drive and to your spreadsheets (drive.metadata.readonly, spreadsheets.readonly) | Finds the spreadsheet named logbookimport and reads the flights in it so you can preview and import them. |
| Certify entries | Read-only access to file names in your Drive, and access to your spreadsheets (drive.metadata.readonly, spreadsheets) | Finds the spreadsheet named logbookimport and adds your certification to its Certifications tab. |
Flightkeep only reads or changes the data described above, and only to provide these features to you. Information from your Google account stays between your device and Google; we don't transfer it to anyone else, use it for advertising, or sell it. No person at Flightkeep reads your data.
Flightkeep's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Other information
Files you import
If you import a CSV file exported from SMART Aviation, Flightkeep reads the file you choose on your device. It isn't uploaded anywhere.
App updates
Flightkeep checks for updates to the app through Expo, the platform it's built with. These checks send technical details such as the app version and your device platform, and Expo's servers may record your IP address. They don't include your logbook or Google account. See Expo's privacy policy.
App stores
Downloads and any crash reports you choose to share with developers are handled by the app store you use: Apple under Apple's privacy policy, or Google Play under Google's privacy policy.
What we don't do
- We don't run servers that store your flights or personal information.
- We don't sell, rent or share your information with advertisers or data brokers.
- We don't show ads or use analytics or tracking tools.
Keeping your information secure
Your Google sign-in tokens are kept in your device's secure storage. Data travels between your device and Google over encrypted connections (HTTPS). Your Google Drive and Sheets data is protected by your Google account. We recommend using a passcode on your device and 2-step verification on your Google account.
Keeping and deleting your information
Your information stays where it is stored until you delete it. You're in control:
- On your device: deleting flights in the app removes them from your device. Deleting the app removes the logbook stored on your device.
- Cloud backup: turn backup off in Flightkeep's Settings to stop future backups. To delete the backup, open Google Drive settings, choose Manage apps, find Flightkeep and choose Delete hidden app data.
- Exported PDFs and spreadsheets: these are ordinary files in your Google Drive, which you can delete at any time.
- Google access: sign out in Flightkeep's Settings, and remove Flightkeep's access at any time from your Google account's third-party connections.
Children
Flightkeep is designed for pilots and isn't directed at children under 13. We don't knowingly collect information from children under 13.
Changes to this policy
If we change how Flightkeep handles your information, we'll update this page and its effective date. Significant changes will also be noted in the app's release notes.
